SUPERFAST IMPLEMENTATION LIFE CYCLE - JUST 60 DAYS

PCSOFT has a track-record of being one of the fastest ERP implementers in the country. We value your time and are mindful that “Time is Money”. Our commitment to speed is not limited to Implementation, we also ensure superfast information access. Once you Go LIVE, you will have access to our rapidfire Reporting Tool and Query Engine - both of these tools will help you achieve faster information access. During Implementation we constantly provide "Consulting, Customization and Support", thereby ensuring that speed never ever diminishes quality or customer service.

A - Implementation Sequence in Brief

In the broadest sense, implementation executives take all efforts to ensure all imperatives relevant to the clients own business-cycle are tackled, and that as many permutations & combinations are explored.

The implementation activity sequence should be-:
  1. System Requirement Study
  2. System Configuration consisting of Parameterization and Verification of Critical Business Cycles by PCSoft
  3. Presentation before Client to demonstrate Proof of Concept. This is sometimes called Conference Room Pilot (CRP) and is followed by the client’s approval.
  4. Training to client’s coordinator / operative persons.
  5. GO-Live Preparation - Master data and Opening balances entry
  6. Actual GO Live

B - Handholding (optional)

PCSoft offers its client’s special care by providing handholding for a period of one month, if the client so desires. Handholding is highly recommended because it gives the new client a chance to learn-the-ropes with hands-on training subsequent to implementation.

The special training that you receive during handholding will set you in the right path for success. You need not worry about any trial and error issues or arduous reworking. One great benefit of undergoing the Handholding program is that your Database and other Data Sources are forever tuned in the most apt manner, negating future problems which may be very hard to rectify at a later date.
C - Essential Observations and Notes
  1. In practice the length of time required to implement an ERP system may vary depending on the size of the business, the number of modules, the extent of customization, the scope of the change and the willingness of the customer to take ownership. The amount of time a client is willing to devote to the project has got tremendous bearing on its overall speed and quality of implementation. PCSOFT cannot, and shall not be held responsible for delays occurring from the client side. We forewarn that it is essential for client side Master data and Opening Balance data to be ready at the time of commencement, without which the implementation activity may be delayed.
  2. The training shall start only after installation of the hardware, RDBMS and completion of networking.
  3. Once the handholding starts, it should be completed within one month and thereafter verification within 15 days. When more time than above is required due to any delays it shall be charged extra.
D – Client’s Responsibilities (to ensure Successful Implementation)

  1. Customer side Project Coordinator: The Customer should appoint a full-time ‘coordinator’ in consultation with PCSoft to assist with and oversee the implementation process. The Coordinator holds a position that is critically important to the success of the project since he/she will be chief liaison between the parties and convey important information bilaterally. The coordinator should be familiar with all major business processes running within the client’s firm and have extensive knowledge of the firms operations past and present. Most importantly, the coordinator should be empowered to make decisions on behalf of the company, pertaining to aspects of ERP implementation, which may comprise the direct or indirect positive reshaping of the firm’s business cycle. Incase bottlenecks are observed or unnecessary delays are noticed the coordinator should immediately intervene and take actions to avoid further delay. The co-coordinator can take help of PCSoft implementation officers to expedite the matter. PCSoft will impart necessary training to the coordinator on various aspects of Int-E-View ERP, most significantly ‘Report Writer’ and data structures. This is to reduce dependability on PCSoft and gain confidence in the system even after implementation is over. Consecutively the coordinator will train other end-users within his company in due course.
Some of the responsibilities of the coordinator includes:
  • Explain the ERP environment to all other users, at all levels within his organization. Further he/she should emphasize that the transition to the ERP will involve change in the work environment of both the user and systems personnel. Building commitment to this change is an important responsibility of both the coordinator and users.
  • By interacting with relevant colleagues the coordinator should assist PCSOFT in the process of System Requirement Study (SRS)
  • Provide ample ‘Sample Case Data’ of transactions for every relevant ERP Module.
  • Towards the end the coordinator should assist in conducting the Conference Room Pilot (CRP). Obtaining and Approving Data pertaining to various departments. This includes Master Data, Transaction data and Reporting formats.
  • Communicate and moderate requirements of ‘Users’ and ‘Implementation Officers’ to close all open issues.

  • Creation of a Steering Committee :Steering committee should consist of Senior Members of the organization, who will be able to guide and control the implementation process. This steering committee should make strategic decisions in relation to implementation and ensure that impediments or bottlenecks are kept at a minimum. The Coordinator should constantly be in touch with the Steering Committee and when necessary pass their instructions/comments to the staff of PCSOFT.

Others :Office space, Internet, telephone and fax communications facilities shall be made available to PC Soft consultants at site during the implementation.
